Start with the venue’s usable space

Ask your venue for a floor plan with measurements. Mark the dining tables, DJ or band area, entrances and walkways. A room’s overall capacity is not the same as the space available for dancing after everything else is placed.

Share your guest count and how you expect to use the floor: a first dance, open dancing, performances or a combination. Ask the rental team to confirm the available floor dimensions against that layout rather than choosing a size from guest count alone.

Confirm the surface and location

Send photos of the proposed location and describe the surface underneath it. For an outdoor celebration, discuss weather protection and a backup location with the venue and rental team before booking. Do not assume a floor is approved for grass, uneven ground or exposure to rain.

For an LED floor, ask which power supply and lighting arrangements your selected installation requires. Confirm those details with the venue rather than relying on another event’s setup.

Plan delivery access and setup time

Gather the venue’s load-in and pickup windows, parking instructions, door dimensions and any stairs or elevator restrictions. Share the day-of contact and the time the space must be ready for guests.
